These Terms & Conditions apply to all children attending the Havering Music School Summer School, which takes place during the first week of the summer holidays. 

By applying for a place, parents/guardians confirm that they have read and agree to the following conditions. 

 

1. Eligibility and Fees

1.1 Children who are currently enrolled in lessons on the Silver and Gold package at Havering Music School may attend the Summer School as part of their lesson package at no additional cost. 

1.2 Children who are on the Bronze package or are not currently enrolled in lessons at Havering Music School may attend the Summer School for a fee of £215.70 per child (or £65 a day). 

1.3 A child’s place will only be confirmed once: 

• A completed application form has been received, and 

• Payment has been received in full (for non-members or Bronze lesson package members). 

1.4 Fees for Bronze package members or non-members are non-refundable once a place has been confirmed, except in exceptional circumstances at the discretion of the Music Centre. 

 

2. Registration and Application Deadlines

2.1 Applications must be submitted during the official registration period. 

2.2 We cannot accept late applications once registration has closed. Late applications will need to be submitted to musicschool@havering.gov.uk where they will be added to the waiting list.  

2.3 Teachers, visiting tutors and resources are arranged based on the number of children registered. Because of this, we must strictly adhere to the application deadline. 

 

3. Attendance and Commitment

3.1 By registering for the Summer School, parents/guardians are committing to their child attending the event. 

3.2 In previous years, some registered children have not attended without notice. This prevents other interested students from taking those places. 

3.3 If your child is unable to attend after registering, parents/guardians must notify  musicschool@havering.gov.uk as soon as possible. 

3.4 Failure to attend without prior notice may affect eligibility for future events organised by the Music Centre. 

 

4. Illness and Health

4.1 Children must not attend if they are unwell. 

4.2 If a child has experienced symptoms of a sickness or stomach bug (including vomiting or diarrhoea), they must remain at home and not return until at least 48 hours after symptoms have completely stopped. 

4.3 Parents/guardians must inform the Music Centre if their child will be absent due to illness. 

4.4 Any relevant medical conditions, allergies, medications or additional needs must be disclosed on the application form so appropriate care can be provided. 

4.5 If a child becomes unwell during the day, parents/guardians may be contacted and asked to collect their child. 

 

5. Food and Allergy Policy

5.1 Children may be required to bring a packed lunch and snacks each day unless otherwise stated. 

5.2 Due to serious food allergies within the school community, the Summer School operates a strict nut free policy which includes: 

• Peanuts 

• Tree nuts (such as almonds, hazelnuts, walnuts, cashews, etc.) 

• Nut-based spreads (e.g. peanut butter, Nutella or similar products) 

• Foods containing nuts as ingredients 

5.3 The Music Centre reserves the right to remove food items containing nuts to ensure the safety of all students. 

5.4 Parents/guardians are responsible for checking ingredient labels carefully before sending food into the Summer School. 

 

6. Behaviour

6.1 All students are expected to behave respectfully towards staff, visiting tutors and other students. 

6.2 Bullying, disruptive behaviour, or unsafe conduct will not be tolerated. 

6.3 In cases of serious or repeated behavioural concerns, parents may be contacted and the child may be asked to leave the Summer School. 

 

7. Supervision and Collection

7.1 Children are supervised by Music Centre staff during official Summer School hours only. 

7.2 Parents/guardians are responsible for ensuring their child is dropped off and collected at the correct times. 

7.3 The Music Centre must be informed in advance if someone other than the usual parent/guardian will collect the child. 

 

8. Photography and Media

8.1 Photographs and video recordings may be taken during the Summer School for educational, promotional, or archival purposes. 

8.2 These may be used in: 

• Music Centre newsletters 

• Social media channels 

• The Music Centre website 

• Printed promotional materials 

8.3 Parents/guardians who do not wish their child to appear in photographs or video recordings must inform the Music Centre in writing prior to the event. 

 

9. Data Protection and GDPR

9.1 Havering Music School is committed to protecting personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. 

9.2 Personal information collected through the Summer School application form may include: 

• Parent/guardian contact details 

• Student name and date of birth 

• Medical information and allergies 

• Emergency contact information 

9.3 This information will be used solely for the purposes of: 

• Administering the Summer School 

• Ensuring the safety and welfare of students 

• Contacting parents/guardians when necessary 

9.4 Personal data will be stored securely and only accessed by authorised staff. 

9.5 The Music Centre will not share personal data with third parties unless required by law or where necessary to safeguard a child. 

9.6 Parents/guardians have the right to: 

• Request access to their personal data 

• Request correction of inaccurate data 

• Request deletion of data where appropriate 

• Withdraw consent for certain uses of data
